Transcription Goals

The focus of our transcription is on:

Here are the key steps:

  1. The text of the SHELF LIST stamp or the SHMOD stamp is not needed - delete all of those characters.
  2. From this point onwards retain all of the text and handwritten comments that you see in the card.
  3. Starting with, the call number at top on two or three lines ...

  4. If there is handwritten text saying "Online" with or without a number, add Online [and the number] under the call number.
  5. A line for the author or editor of the book follows. Retain the capitalisation that you see.

  6. A line or lines for the title of the book follows.
  7. Publication information - place: publisher, year - often runs on after the title, but we would like this on its own line, eg:

    Tallahassee, Fl.: Naiad Press, 1983.

    If you see a comma , after the place of publication you can replace that with the more usual colon :.

  8. Page number information follows on its own line, eg:

    iii, 25p. (letter p. is short for "pages").

  9. Series information might follow, again put it on its own line.
  10. An ISBN goes on its own line.
  11. An edition statement might be present, it goes on its own line.

    First published in 1957.

  12. Subject terms numbered 1, 2 or 3 for subjects, or I, II or III for additional name and title entries follow, and each one should be on its own line eg:

    1. Novels, American
    I. Title.

  13. An accession number may be the last item on the card and may be handwritten eg:

    Acc. No. 4024

  14. If there is CONT Card 2 information, include that as well.
  15. Delete any empty rows at the end, including a red dot you might see in some cards.
  16. Do a quick check for tricky things like: numeral 1s showing as lower case letter l, or zeros 0 transposed for capital letter O.
  17. You're nearly done!
  18. There is no need to check the Needs review box. Every card will be reviewed by an expert.
  19. Leave the page Title field as page_0021 or similar. This will be changed by one of our expert team who will change it to something like LAGANZ-OCTAVOS-L347-BAN, or similar, as a way of indicating that they have reviewed the card for us.
  20. Save your changes! Click the DONE button. Note: Using Done (not just Save) is a change of instruction from 13 Jul onwards.
  21. Try another index card. You have been a great help, thank you!
